Case Assistant & Office Coordinator
We’re looking for a highly organized, client-focused Case Assistant & Office Coordinator to join our team at our Del Mar Heights office. This fully on-site role provides essential administrative support across the firm and serves as the first point of contact for clients and visitors. What You’ll Do
- Provide legal administrative support to attorneys and timekeepers, including drafting and proofreading documents, formatting legal filings, preparing redlines, and assisting with time entry
- Coordinate execution of legal documents and maintain accurate version control using the firm’s document management system
- Assist with client intake, matter opening, and maintenance of electronic client files and extranets
- Support litigation and transactional practices with administrative case support as assigned
- Maintain client files and assist with new client intake
- Answer phones, greet guests, and coordinate conference room and event logistics
- Order catering, manage vendor relationships, and support day-to-day office operations
- Collaborate with Facilities and IS teams to troubleshoot issues and prep for meetings
- Provide overflow and backup support across departments

We are seeking an experienced and strategic Controller to oversee the accounting operations of Southern California’ leading law firm. Reporting directly to the CFO, the Controller plays a key leadership role in managing the firm’s financial operations, driving accuracy in reporting, improving financial processes, and advising firm leadership on financial performance. What You’ll Do
- Lead the preparation of all internal financial statements and external audit reports
- Manage tax compliance, including federal and state filings, and oversee K-1 preparation
- Maintain partner capital accounts and ensure timely and accurate draws and distributions
- Support partner retirement planning in collaboration with ERISA counsel
- Oversee accounts payable and manage firm-wide expense reimbursements
- Supervise and develop a team of accounting professionals
- Enhance and streamline accounting processes and systems
- Support annual budget development and forecasting in coordination with FP&A
- Serve as a subject matter expert on firm financial systems (e.g., Aderant, Elite, Chrome River)
- Ensure compliance with GAAP and regulatory requirements; implement internal controls
What You Bring
- CPA license required
- Bachelor’s and Master’s in Accounting required (MBA a plus)
- At least 10 years of progressive accounting experience, preferably in a law firm or professional services environment
- Proven ability to manage audits, tax filings, financial statements, and partner capital accounts
- Strong supervisory skills with a track record of developing high-performing teams
- Exceptional analytical, communication, and problem-solving abilities
- Deep understanding of financial systems, with advanced Excel skills

Key Responsibilities:
- Prepare and transcribe legal correspondence, pleadings, memoranda, reports, and forms.
- Perform e-filing across various state and federal jurisdictions (CA, NV, AZ, including Riverside, Northern California, and federal courts).
- Proofread and edit legal documents for accuracy, completeness, grammar, and proper formatting.
- Maintain organized electronic and physical files, locate and retrieve information, and manage correspondence.
- Handle client communications, screen calls, and arrange appointments and conferences.
- Prepare engagement letters and assist with case administration tasks under attorney or paralegal direction.
- Enter attorney time and manage billing processes.
- Perform calendaring and prepare expense reports.
- Arrange for reproduction, distribution, and county recording of legal documents, including mechanics’ liens and government code claims.
Required Qualifications:
- Minimum of 7 years of experience in a high-volume, fast-paced civil litigation environment.
- Extensive experience with e-filing systems such as TruFiling, One Legal, CM/ECF, and Odyssey
- Proficiency in Microsoft Office Suite.
- Strong familiarity with state and county filing systems (multi-county experience preferred).
- Exposure to complex litigation cases, breach of contract claims, lien foreclosures, and government code claims.
- Experience with construction litigation is highly desirable.
